# How Medius replicates AP decision-making to deliver truly touchless invoice processing

Medius offers automated invoice processing with features such as touchless processing, automatic matching, tolerance definition, and mobile approval options. It replicates AP decision making to process various invoicing scenarios and eliminates unwanted human intervention using waterfall matching technology. Users can review and open invoices even when matched automatically, and authorized users can make simple updates to rules as the business grows and changes. The system also provides transparency by displaying purchase order and goods receipt information within the interface, supports different actions for approval or rejection of invoices, and automates the process of short pay as a rejection method. Additionally, it integrates with the ERP system for automatic clearing of exceptions when new receipt information or updated purchase orders are entered.

If the data we find on an invoice indicates matching to a purchase order, the invoice moves along to matching. And if no discrepancies outside of tolerance are found, it can post to the ERP without ever having users see it. Our best-in-class customers achieve a ninety three percent touchless processing doing this, meaning processing from reception to posting without needing human intervention.

Now there might be cases that you want to stop invoices from going a hundred percent automated even when a match occurs.

As a user, I can still open my invoice, review the document on the left, and see the automatically matched invoice, purchase order, and relevant delivery lines all within the interface.

But our customers achieve high levels of automation because Medius is built for complexity.

It's rare that you process every invoice the same way.

What I like to say is that we replicate AP decision making to automatically process your various invoicing scenarios.

For example, some discrepancies between the invoice and PO are completely normal and within your tolerances.

Oftentimes today, AP is able to enter or handle these types of items themselves without needing approval.

So think delivery fees, taxes, surcharges, small pricing discrepancies, or freight as shown in this example.

Medius identifies these situations and is able to then automatically code out the differences considering factors down to the supplier level.

Now the second line on my screen was a freight charge, still automated by the system, although not on my purchase order, because it's below my threshold of ten dollars.

Medius automatically took care of the coding for this charge, so I can review if I wanted. Maybe it goes to a separate freight account or allocated to the cost of goods sold in this case. But clicking final approval post the invoice transactionally.

But the way you code and handle these charges is completely up to your business. Medius' line level flexible matching ability is significant to maintain your visibility and control.

We utilize a technology called waterfall matching, where we're able to consider various data limits on an invoice to get accurate matches even when the information isn't the exact same, truly eliminating unwanted human intervention.

Maybe line level matching is applicable for most invoices, but in some scenarios, such as a service invoice, a header match is more appropriate.

In this single transaction on my screen, we have multiple purchase orders, several deliveries, inaccurate item numbers, another freight charge, and slight item pricing issues.

Again, expanding the details of my screen, you can see the discrepancies in purchase order and delivery data all within the interface.

But because everything is within my tolerance, my user experience is the same.

I can verify my match lines, and coding if I wanted, pointing out the extra automated hundred dollar freight charge this time to a separate freight account, and item discrepancies written off to purchase price variance that were all handled for me.

Medius works with you to define the tolerances and policies appropriate for your business during your project, but it's common for these rules to change over time. The tool is business friendly, so authorized users can make simple updates when your business grows and changes.

The way we're able to handle your scenarios is vital to success because a hundred dollar freight charge on this invoice might be okay, whereas you'd certainly want to be alerted if it showed up elsewhere.

Now that we've looked at how Medius mitigates manual touch, let's look at the experience when discrepancies do occur.

An important benefit we provide our clients is routing a discrepancy to the appropriate user for handling. Oftentimes, this is the purchaser in the case of a pricing issue or maybe the receiving department when the goods receipt doesn't match.

When there is an issue needing my attention, the invoice is put in an analyzed status, and yellow triangles tell the user exactly what the discrepancy is. Of course, you can see purchase order and goods receipt information all within the interface for transparency.

Now based on my business, I might take different actions supported in the platform for approval or rejection. And in this example, we'll use a short pay as a rejection method.

When I select that option, Medius is going to do the legwork in regards to an expected credit and posting.

So what will happen in the background is when I reject this line, Medius will pay the full invoice, pay a separate credit on the side. The separate credit creates a document that will send to the supplier notifying them of the short payment, all with a full audit trail behind it. So we're taking a traditionally multistep process and consolidating it down to one click.

Similarly, approving an item comes with its own behind the scenes benefits, eliminating the need for AP to manually code the invoicing line.

Now additional efficiencies come into play when we talk about discrepancies and approvals.

Automatic notifications, alerts, and escalations ensure users are appropriately pushed when they have an invoice.

Collaboration tools as well consolidate questions or comments for transparency in when other users need to get involved or for audit trail purposes, and mobile approval options give users ease of use when on the go.

But because Medius is integrated with the ERP system, we can get new receipt information or updated purchase orders as they're entered throughout the day.

If a new receipt comes in and matches to an existing invoice, we'll automatically clear the exception, removing the need for further resolution.

Simple and pointed discrepancy handling is key to user adoption, saving time, and overall process efficiency when processing PO-based invoices.
