Medius and SourceDay bring procurement, supplier relationships, and finance together
SourceDay provides a comprehensive solution for managing purchase orders, allowing suppliers to engage via email, exports, imports, or EDIs without requiring a login. The platform tracks millions of purchase order lines and facilitates quick review, acceptance, and integration with ERP. It also offers vital visibility into shipment information and delivery dates, along with scorecards and analytics for tracking purchase orders. This improves supplier relationships and enables measurement of productivity and efficiency. Within Medius accounts payable, clean purchase orders result in maximum touchless processing rates, automatic connection of invoice lines to PO lines and goods receipts, and insight into suppliers causing friction in the process. The touchless rates are important for maximizing efficiency and minimizing cycle time, providing insights into upcoming cash requirements and early pay discount statistics, as well as process duration, cycle time, and supply chain risk reduction.
Once that purchase order has been created in ERP, SourceDay will pick that up, manage a hundred percent of your PO delivery by engaging your suppliers where they're at, and capturing that acknowledgment and passing it back to you so you can have confidence in your orders.
SourceDay meets your suppliers where they're at and engages with them in a way that makes sense. If a supplier just wants to use an email, they can do just that and have no login required in order to engage with the purchase order. If they wanna work in bulk and do exports and imports, they absolutely can do that on the platform with not only you, but other customers using SourceDay.
And if they only want to receive EDIs, we can also do that for the supplier passing back and forth EDIs and giving your buyers just one workflow no matter how the supplier chooses to engage.
To give you an idea as to what that email based workflow looks like, this is SourceDay's interactive purchase order.
Within this, the supplier will get any new or changes made to existing POs, and they can drill directly into SourceDay from that email, review the PO specifics, make any suggestions to the price, quantities, or dates, and then accept once they're comfortable with it.
All of that information gets passed back to you, again, in one place for you to manage within SourceDay where you don't have to go and try to find different workflows for each supplier.
SourceDay tracks millions of purchase order lines between a large network of buyers and suppliers.
And one thing our data tells us is that those POs are gonna change. About fifty two percent of the time is what we see. And when that happens, we need a quick and easy way to review those changes, accept them, and get them back into the ERP because not only does that impact having clean purchase order data and how we run our forecast, but also it impacts downstream to our invoice processing. If we have clean PO data, we'll have a higher first pass match rate.
SourceDay helps with this by isolating those supplier proposed changes into our updates tab, allowing buyers to review all changes in one place and compare them side by side, whether that's a proposal to the due date, to the quantity, or to the cost of the item.
On this first line, we can see our suppliers suggesting that we need to reduce the quantity to forty, and we can also see that they're increasing the rate to nineteen hundred dollars.
If I'm okay with that change specifically, I can accept just this one or cherry pick all the ones I like and want to accept in bulk, review the details of those changes, and then confirm and get that back into the ERP.
Now I'll have clean PO data and that'll feed down the line to help increase that first pass match rate.
Once SourceDay has handled the purchase order delivery and acknowledgment and any purchase order changes that needed to take place throughout that PO's life cycle, it's now time for the supplier to create the shipment and pass that information back to us.
With SourceDay shipping functionality, buyers gain vital visibility into shipment information as well as actual delivery dates.
All of this information can be tracked within the shipment table within SourceDay, and we can collect additional information such as carrier, means of transport, tracking number, quantity shipped, bill of lading, container ID, anything really that is necessary to make sure that we have what we need coming in.
Buyers and receiving teams can also get an updated expected delivery date directly from that tracking number and carrier so they can better plan how they're gonna receive and what they're needing to receive each day.
Throughout the procurement process, as we're tracking all of these purchase orders with every supplier, SourceDay is giving users scorecards and analytics to better understand their performance and organization.
SourceDay helps improve your supplier relationships with the power of insightful data. Our supplier scorecards provide real time visibility into your partnership's performance, serving as a valuable tool for improvement and collaboration.
What's even better is you can measure productivity and efficiency across your organization with concise data to know where changes to your processes may make the most impact. This allows you to take a deeper dive into how your teams and your suppliers are using SourceDay, the types of changes per purchase order, and how long it's taking you to get responses on all your high priority orders.
Upfront collaboration with suppliers results in cleaner purchase orders.
And clean purchase orders means maximum touchless processing rates within the Medius accounts payable process.
Building upon our clean PO transaction where both the quantity and price adjustments were made to generate that clean PO, you can see the impact within Medius accounts payable automation from a touchless perspective.
So in our transaction example, where the PO was, ending one three two seven, you can see right here.
We have the invoice from Mrazek Group where you have header level content, including the invoice number, the PO reference number, as well as our quantity of forty LCD displays for the unit price of nineteen hundred dollars, which was adjusted as part of that PO collaboration process.
The benefit of this combined solution is fully touchless processing. So one of the things Medius does is it accurately extracts the header and line level details on essentially the first pass, the first time we ever see a supplier invoice.
And it automatically connects the invoice lines to the different PO lines and goods receipts.
And if there were any deviations or variations, they would show up in this list, but there aren't. We have essentially a perfectly connected PO, and it's entirely the customer choice as to whether or not to auto post this. Or in this example, for demonstration purpose, tee it up for final review before electronic posting to the ERP system.
Accounts payable analytics allow you to measure touchless processing rates within AP, which is the proven way to maximize both efficiency and minimize cycle time.
It also gives you insight into the suppliers that create friction in your process so you can take corrective action.
And lastly, it enables you to monitor cash flow information as well as early pay discount statistics.
At Medius, we are obsessed with touchless processing because an organization's touchless rate is perfectly correlated with both efficiency and cycle time.
Touchless rates are therefore one of the most important analytic views that we help our customers focus on all the way from the time an invoice is captured and all the underlying data through reconciliation and ultimately ERP posting.
One of the ways we help our customers continuously improve the touchless rate of transactions is providing analytics like this.
This is showing for a given company the business units that have the highest and lowest levels of touchless processing rates with an AP. You can, of course, measure your touchless processing trends over time. But most importantly, there's a Pareto distribution that shows, which suppliers do the most amount of volume and the relative touchless rate of each supplier. So you can effectively understand which suppliers are creating the most friction in the process so you can ultimately take corrective action.
Of course, there's insights as well in terms of process duration and cycle time. One of the, of course, key benefits of having an automated AP process is the ability to process and get invoices ready for payment quickly, which reduces supply chain risk. It helps suppliers get paid on time, which, of course, funds their operating cycle and and really keeps everyone happy and really minimizes disruption. So Another important analytic view for our customers is cash flow insights.
This provides essentially a view into cash requirements that are upcoming as a result of everything that's going on within the AP process.
It also provides a point of view on early pay discounts that are in process as well as those that have been captured and those that are at risk of not being captured.
