How Medius reporting gives finance teams full visibility into invoicing, accruals, and process bottlenecks
The platform provides analytics and reporting for organizations, offering visibility into invoicing data, accrual reports, bottleneck reports, and other accounting reports. Users can create, modify, and maintain reports with data from the ERP, including purchase order and goods receipt information. The reporting tool allows for the configuration of accrual reports to facilitate accruals at the end of the month and enables auditors to self-serve. It also provides visual interpretations through graphs and a dashboard view of the invoicing process, including cash flow impact metrics and indicators for process improvement. Customers achieve best-in-class automation rates by utilizing a wide variety of configurations available in the platform.
Medius makes it easy to get the information important to your organization.
In addition to the transactional data points, these analytics pinpoint roadblocks and opportunities for improvement, which is precisely how our customers achieve our best-in-class automation rates even as their business grows and expands.
Throughout the entire process from capturing the invoice through posting, Medius is keeping track of the data for reporting purposes, and there are two portions of reports applicable in the platform.
First, business-based reports allow you visibility into invoicing data that can be accessed either in the platform itself, it can be exported to Excel on a one off or in the form of a schedule report sent via email, or automatically pushed out utilizing OData links to your data warehouse or other reporting application.
These reports consist of items as you'd expect, such as accrual reports, bottleneck reports giving you visibility into who invoices are currently sitting with, or other accounting reports, such as invoice but not received or received but not invoice. You can utilize the user-friendly interface to create, modify, and maintain reports for your specific business, noting that the information here also consists of data from the ERP. So purchase order and good-to-see information is here to create reports from.
Clicking into any report, I'm able to filter or group the information as necessary.
Add or remove, rearrange any of these fields that I see to really get the information that I'm looking for.
My accrual report specifically is often configured by customers in a way to simply copy and paste the lines into the ERP journal to easily facilitate the accruals at the end of my month.
In addition, specific auditor permissions can enable auditors to self serve in the tool, removing an often stressful and hectic situation from AP.
Aside from strict transactional data as you'd expect, you can take it a step further in Medius reporting. I can see what PO invoices have costs being stopped for user intervention, but in the end are being approved.
Do you not continue having someone approving the charge, or do you want to utilize supplier-specific configurations to maybe change a tolerance or automate the exception?
Clicking into any of these reports, you're brought directly to the document itself to review invoicing information.
You can also get line item information on non-PO invoices as well, allowing you to search descriptions for certain lines, maybe to compare information across vendors or changes over time.
Reports are meant to be business managed so that you're easily able to utilize the data in a way that makes sense for your business.
But instead of searching through the data lines, utilizing graphs gives visual interpreters a simple dashboard view into their invoicing process.
These graphs are how our customers achieve and then exceed their goals while providing better insights.
Now I'm not going to go through all of the different tabs of data here because there is a lot.
Starting with the overview, the dashboard tells me everything about the current status of my platform and current process and handler, gives me a graphical graphical representation into who invoices are sitting with or what task my invoices are currently in.
Our cash flow impact metrics gives me AP financial details, such as DPO compared year over year. And in a multi-company environment, I can see everything in one place.
Moving to cash discounts, I can see what cash or what discounts are available to me and by what vendors.
In addition to the chart shown, Medius provides indicators in the platform to easily identify invoices with cash discounts throughout the process so that they can be processed quicker when user intervention is required.
Now data points such as straight through processing gives you visibility into what tasks are still being completed manually.
Are invoices getting hung up in capture? Are they stopping in AP for coding?
Or maybe stopping for PO matching because a PO wasn't on the invoice, or maybe the purchase order identified was wrong.
This gives me direction to dig into the root cause of these common issues.
Speaking of automation, we'll take it a step further in helping identify specific suppliers hindering your automation rates.
You can see many hundred percents as we'd expect, but sorting this list by total volume identifies your lowest hanging fruits.
Here, my third most common supplier only has a four percent automation rate. But why is it? Is this because how they're sending their invoices, an unnecessary step I'm taking in the process, or is there a way Medius can be configured differently to help?
One final click, I'm given visibility into the specific fields that's being touched by users every time so that I'm able to take that information and find a solution quickly.
Now having visibility into specific performance improvement over time for data included in just the subset of the graphs that I showed today changes the game and AP efficiency and cycle time.
These reports give you more details into what's holding up your process so that you're able to get to the next level.
Utilizing these metrics for continuous improvement and simple invoice tracking are how our customers successfully achieve our best-in-class automation rates, while utilizing the wide variety of configurations available in our platform to remove unnecessary manual steps.
