How Marshalls PLC doubled straight-through processing
Marshalls PLC, the UK’s top manufacturer of sustainable building solutions, handled about 175,000 invoices each year. Before they brought in Medius, 60 percent of those invoices were paper or email, which meant a lot of manual data entry for their small accounts payable team.
In this video, Nick Hague shares how AP automation with Medius helped Marshalls reduce errors, boost audit visibility, and double straight-through processing to 60%. With advanced analytics and scalable workflows, they’re driving growth and leveraging automation and AI.
So I'm Nick Hague. I'm the director for financial process and transactions, and I've been at Marshalls for about six years. Marshall's PLC is the UK's leading manufacturer of sustainable solutions for the built environment.
It's got a portfolio of products across landscaping, building, and roofing, And that incorporates products such as paving, curbs, drainage, concrete bricks, pitch reef systems, and integrated solar technology. So a really wide range of products for the built environment.
So before Medius, we were doing what I'm sure a lot of companies were doing, which was manually answering invoices.
So we were doing for around about a hundred and seventy five thousand invoices a year.
A small AP team, but about forty percent of those were entering, invoices. And about sixty percent of our invoice volume were paper coming into the post or emails. And so it was really resource intensive and wasn't really giving any of the team any satisfaction in the job.
Since, implementing Medius, we've been able to streamline our processes. So that's reduced our error rate, increased our straight through processing, and that's meant that we're ensuring that vendors get paid on time and that for the employees who work in accounts payable, they're able to do some more value add activities, which is brilliant for everyone.
For our implementation, we decided to do a small pilot to begin with. That really allowed us to learn a lot about the system and how we used it. And then from there, we rolled out side by side, and that for me worked really well. When we're working with our IT team during the implementation, what was really important to us is access management.
With single sign on and user roles, that's enabled us to make sure we've got the right access with the right people.
What I find really useful in Medius in my role is the ability to see that audit history of the invoice. I can see when it arrives, what journey it's been on in Marshalls, and, ultimately, when it's been paid, and that gives me information that I just didn't have readily before.
Implementing Medius is like any other change program.
It's all about, for me, gaining that trust in the system and recognizing that everyone goes through that change process at different paces.
For us, I think for the AP team, it's it's such a user friendly system that they're able to interact with the system, and really get some value add, into their role. For those outside of accounts payable, that user friendly feel of Medius means that the confidence go and use the system, they can access the invoice copies, they can see that workflow, And it's made everyday tasks just a little bit easier.
Since going live with Medius, we've worked really closely with the account manager and the customer success team, and that been brilliant. We've worked on reporting, how we can use the reporting better to help not only ourselves in accounts payable, but also the site administration team. They've been helping with little tips and how we can improve our straight-through processing, And we love those weekly emails that come out with little hints and tips. Even though it might only be a small bit, those small hints really do add up and make a difference.
When we're building the business case for Medius, what was really important to me was the short payback period, the ability to automate our processes, the efficiencies that would bring to the business, the stronger audit trail that really helps when we're going through an audit. But I guess the biggest bit for me was how it could grow with us. So as an acquisitive business, we could use Medius and not necessarily have to grow the team in line with that.
We're a purchase order heavy business. That means that everything we purchase has a purchase order alongside it. What Medius has allowed us to do is introduce, where appropriate, non purchase order processing.
Still with that audit trail, but add some efficiency and ensures that the vendor gets paid on time. One of the benefits we probably didn't consider when we're looking at Medius was how we could use analytics, and Medius has a great analytics module that gives it gives me all of my KPIs at my fingertips on a timely basis.
And it's allowing us to look deeper into what's going on on a monthly and daily basis.
We wanted to be paperless. That was one of the big drives of, implementing Medius, and I'm really pleased to say that we got there. Our straight through processes increased from thirty percent to sixty percent. Spot. But we know that the industry average is around sixty five percent. And we know that's really in reach, and that's what we're gonna be pushing for. We're also looking at other ways we can use Medius, whether it's scheduling reports, which we think will really help the site administrators.
We're also really interested in statement reconciliation as the way now is coming and that we can see will add more value to the team. For me, the future with Medius, looking at statement recs and how AI can really start to add some value. I'm really interested in seeing where Medius goes in the future.
